What we collect
When you use the contact form, we collect your name, email address and the enquiry you write. We use your name to address and manage your enquiry, your email address to reply to you, and the enquiry itself to understand what you need. All three fields are required. You choose whether to contact us and what context to share. You can also email us directly.
Please keep your enquiry to the business context we need. Do not include passwords, identity documents, financial account details or sensitive information about other people.
Why we use it
We use your enquiry to understand what you are asking, respond to you and arrange relevant follow-up. We process technical information where necessary to operate, protect and understand the performance of the website.
We do not sell enquiry information or add you to a marketing mailing list through this form. If we want to use your information for a different purpose that requires your consent, we will ask you first.
Where your information goes
Your enquiry may be processed by service providers we use to operate our website, store submissions and deliver business email. These currently include Cloudflare and Zoho. Only authorised people at KADO AGENTS can access enquiries for the purpose of responding to them.
Some of our service providers may process or store information outside South Africa. Where this happens, we take steps to ensure that the transfer is handled in accordance with POPIA and that appropriate data-protection safeguards apply.

How long we keep it
We keep enquiry information only for as long as reasonably necessary to respond to the enquiry, manage relevant follow-up or meet another lawful retention requirement. We review retained enquiries regularly and delete information that is no longer needed.
Copies may also exist in email correspondence and provider backups. Those records are retained and deleted according to our applicable retention practices and the relevant provider arrangements.
Website and technical information
We use Cloudflare Web Analytics for aggregate visit and performance measurements. It does not use cookies or browser storage to track visitors. We do not include form contents in analytics events. Separately, our hosting and infrastructure providers, including Cloudflare and Oracle Cloud Infrastructure, may process your IP address, browser information, request logs and security events to operate and protect the website. To limit repeated form submissions, we use an identifier derived from your IP address to apply a limit over 60-second windows. Your IP address is not stored in the enquiry record.
AI processing
This contact form does not call an AI model or make automated decisions about you. If a later client engagement involves AI processing, the purpose, access and relevant data arrangements need to be addressed as part of that engagement.
Protecting information
We use HTTPS, service access controls, server-side validation and submission limits to help protect the website and enquiries. No internet service can guarantee absolute security. Tell us promptly if you believe information sent to us has been exposed or misused.
Your choices and rights
You can ask whether we hold personal information about you, request access to it, ask us to correct inaccurate information, request deletion where the law allows, or object to certain processing. Where processing relies on your consent, you may withdraw that consent. We may need proportionate verification of your identity before acting on a request.
